When to Book Your Wedding Car Service in Portland (A Timeline That Actually Works)

Wedding transportation is usually the last thing couples book and the first thing they regret rushing. Here's a realistic timeline for locking in a chauffeur for your Portland wedding, built from what we see go right and wrong every season.
9 to 12 months out: get on the calendar. Portland wedding season runs May through October, and the same weekends that are busy for venues are busy for cars. If your date falls on a Saturday between June and September, the vehicles couples actually want -- a Cadillac Escalade ESV for the wedding party, a Mercedes Sprinter for guest shuttles -- are the first to go. Booking this early doesn't lock in a final headcount or itinerary, just the date and the vehicle type.
6 months out: build the real itinerary. This is when the timeline stops being a guess. You'll want pickup locations and times for getting ready, the ceremony venue, photo locations (Willamette Valley wineries and Columbia Gorge viewpoints both add real drive time), the reception, and a late-night return trip if people are staying downtown. If you're using multiple vehicles -- one for the wedding party, a shuttle loop for guests between a hotel and the venue -- this is when to confirm vehicle count and shuttle timing with your chauffeur service.
6 to 8 weeks out: confirm with your other vendors. Wedding transportation touches more vendors than any other part of the day. Confirm timing with your photographer (they'll want to know exactly when the car arrives for getaway shots), your venue (load-in windows and parking for a Sprinter or Escalade), and your planner if you have one. This is also the point to finalize whether you want a champagne toast or decor in the vehicle, since that needs lead time to arrange.
2 to 3 weeks out: lock the final details. Final headcount for shuttles, final pickup addresses, a day-of contact number, and a rain plan if any part of the day is outdoors. A good chauffeur service will do a final run-through call around this point rather than leaving it to a confirmation email.
Day of: build in a buffer. Ask your chauffeur to plan arrival 15 minutes ahead of when you actually need to leave. Wedding days run late more often than they run on time, and a car that's already there absorbs that instead of adding to it.
The one mistake worth avoiding: booking transportation around the ceremony only, and forgetting guest logistics. A beautiful getaway car doesn't help if forty guests are circling a venue parking lot that doesn't exist. If parking is tight at your venue, a shuttle loop is usually cheaper than the parking problem it solves.
