What to Know Before Flying Private Out of Portland

Flying private changes almost everything about air travel — except, often, the ground transportation, which people book the same way they always have. Here's what's actually different about getting to and from a Portland-area FBO, and what to ask before you book.
You Have Three Airports to Choose From
Private aviation out of Portland isn't limited to PDX. Atlantic Aviation operates the private terminal at Portland International (PDX), with U.S. Customs capability for international arrivals. Hillsboro Airport (HIO), served by Hillsboro Aviation and Aero Air, is the common choice for corporate aircraft serving the west-side tech corridor. Smaller aircraft and trips headed straight into wine country often use Aurora State (UAO), south of Wilsonville. Which one your aircraft uses changes your ground transportation pickup point — confirm it when you book your flight, not after.
Ground Transportation Should Track Your Tail Number, Not a Flight Number
A commercial car service tracks flight numbers on public schedules. Private aviation doesn't work that way — your chauffeur needs your tail number to track the aircraft directly, so pickup adjusts automatically if you're early, late, or diverted. If a ground transportation company only asks for a flight number, ask whether they can track by tail number instead.
Planeside Pickup Isn't Guaranteed — It Depends on the FBO
Some FBOs allow a chauffeur onto the ramp to meet you planeside; others require pickup inside the lobby. This is the FBO's policy, not the car service's choice, and it can vary by aircraft type and security level. If planeside pickup matters to you, ask your ground transportation provider to confirm it with the specific FBO in advance, not assume it's automatic.
Ask About Documentation Early, Not the Day Of
If you're booking through a corporate flight department, charter broker, or family office, you may need a certificate of insurance or a signed NDA before ground transportation is approved. Request this when you book, not the morning of the flight — it's a quick ask in advance and a scramble at the last minute.
Crew Transportation Is a Separate Conversation
If your trip includes a flight crew who need hotel transport or layover coordination, say so when booking. Crew logistics (multiple pickups, different hotels, early departure times) are different from a single passenger pickup, and worth confirming details on ahead of time.
One Dispatch Line Beats Managing It Yourself
Whether you're the passenger, an assistant booking on someone's behalf, or a charter operator coordinating for a client, the easiest setup is one dispatch line that handles the whole trip — pickup, any crew transport, and the return leg — rather than re-explaining the details to a different driver each time.
